Default Account Settings

Default account settings in ERPNext are configured at the Company level and automatically populate in various transactions to streamline data entry and ensure accounting consistency.

Core Banking & Cash Accounts

Default Bank Account

  • Where it appears: Payment Entry, Bank Reconciliation, Sales Invoice "Make Payment" button
  • ERPNext URL: https://docs.frappe.io/erpnext/payment-entry
  • Context: Automatically populated when creating Payment Entries against Sales/Purchase Invoices. Used for all bank-related transactions and reconciliation.

Default Cash Account

  • Where it appears: Point of Sale (POS) invoices, Cash transactions, Petty Cash entries
  • Context: Used for cash-based sales and manual cash receipt entries

Receivable & Payable Accounts

Default Receivable Account

  • Where it appears: Sales Invoice, Customer master, Credit Notes
  • ERPNext URL: https://docs.frappe.io/erpnext/sales-invoice
  • Context: Automatically fetched when creating Sales Invoices. Tracks money owed by customers. Each customer can have a specific receivable account, but defaults to company default.

Default Payable Account

  • Where it appears: Purchase Invoice, Supplier master, Debit Notes
  • Context: Automatically populated in Purchase Invoices. Tracks money owed to suppliers.

Revenue & Cost Accounts

Default Income Account

  • Where it appears: Sales Invoice items, Sales Order, Delivery Note
  • Context: Used for all sales revenue recognition. Automatically applied to each item line in sales transactions.

Default Cost of Goods Sold Account

  • Where it appears: Delivery Note, Sales Invoice (when inventory is deducted)
  • Context: Automatically used when inventory items are sold and cost needs to be recognized.

Special Purpose Accounts

Round Off Account

  • Where it appears: Sales/Purchase Invoices, Payment Entry
  • Context: Used for small rounding differences in transactions, typically a few cents/dollars.

Write Off Account

  • Where it appears: Sales Invoice "Write Off" field
  • Context: Used when writing off small amounts that customers won't pay.

Discount Allowed/Received Accounts

  • Where it appears: Sales/Purchase Invoices discount fields
  • Context: Tracks discounts given to customers (allowed) and received from suppliers (received).

Exchange Gain/Loss Accounts

  • Where it appears: Multi-currency transactions, Payment Reconciliation
  • Context: Automatically posts differences when currency exchange rates change between transaction and payment dates.

Deferred Accounting

Default Deferred Revenue Account

  • Where it appears: Sales Invoice with deferred revenue recognition
  • Context: Used for recognizing revenue over time rather than at point of sale.

Default Deferred Expense Account

  • Where it appears: Purchase Invoice with prepaid expenses
  • Context: Used for expenses that benefit multiple periods.

Default Payroll Payable Account

  • Where it appears: Payroll Process, Salary Slip
  • Context: Tracks total salary liability before payment.

Default Expense Claim Payable Account

  • Where it appears: Expense Claim processing
  • Context: Tracks employee expense claims before reimbursement.

Default Employee Advance Account

  • Where it appears: Employee Advance requests
  • Context: Tracks advances given to employees.

Cost Center Defaults

Default Cost Center

  • Where it appears: All accounting transactions (Journal Entries, Sales/Purchase Invoices)
  • ERPNext URL: https://docs.erpnext.com/docs/user/manual/en/cost-center
  • Context: Used for profit center analysis. Every transaction requires a cost center for reporting purposes. If not specified, uses company default.

Inventory & Asset Accounts

Default Inventory Account

  • Where it appears: Stock Receipt, Stock Issue, Purchase Receipt
  • Context: Tracks inventory value in balance sheet.

Stock Adjustment Account

  • Where it appears: Stock Reconciliation, Stock Entry
  • Context: Used for inventory adjustments and write-offs.
  • Where it appears: Asset Depreciation entries
  • Context:
    • Accumulated Depreciation Account: Contra-asset account
    • Depreciation Expense Account: P&L expense for depreciation

Payment Terms

Default Payment Terms Template

  • Where it appears: Customer/Supplier masters, Sales/Purchase Invoices
  • Context: Defines due dates and payment schedules. Automatically applied to new transactions unless overridden.

Key Implementation Notes

  1. Hierarchy: Company defaults → Customer/Supplier defaults → Transaction-level overrides
  2. Automatic Creation: When creating a new company, ERPNext automatically creates a basic Chart of Accounts with these default accounts
  3. Flexibility: All defaults can be overridden at transaction level
  4. Multi-Currency: For multi-currency setups, separate receivable/payable accounts per currency may be needed

The defaults system in ERPNext is designed to minimize data entry while maintaining flexibility for specific business requirements.
